Privacy.
How we handle your information — plain English, no surprises.
Privacy policy
Who we are.
This site is operated by The Karmony Trust (ABN 65 228 057 302), trading as The Conscious Movement Collective, based at 32 Magill Road, Norwood SA 5067.
If you contact us, train with us, or just enquire about a session, this page explains what information we collect, what we do with it, and how to get in touch if you want it changed or removed.
What we collect.
We collect only what we need to run the business and stay in touch with people who’ve asked us to. That breaks down into three categories:
- Information you give us directly. Name, email address, phone number, and anything you write in an enquiry form, message, or email. If you train with us, we also keep a basic record of your sessions, any injuries or conditions you’ve told us about so we can coach you safely, and the payment records we’re legally required to keep.
- Information from advertising platforms. If you reach us through a Facebook or Instagram lead form, Meta passes us the name and email you submitted (and any optional questions you answered). If you click an ad and visit this site, your browser sends us standard web traffic information — the page you arrived on, roughly where you are, what device you’re using.
- Cookies and analytics. This site uses Google Tag Manager to load Google Analytics and the Meta Pixel. Both are standard tools that help us understand which pages get visited and which ads work. They use cookies. None of them ask for, or collect, your name or contact details unless you submit them via a form.
What we do with it.
We use your information to:
- Reply to your enquiry and follow up about coming in.
- Run your sessions safely (coaches need to know about injuries; the front desk needs to know who’s booked in).
- Process payments and meet our tax and record-keeping obligations.
- Send you occasional updates about how we train and what’s on — only if you’ve opted in. Every email has a one-click unsubscribe.
- Understand which pages and ads are working, so we can spend our time and budget on the right things.
We don’t sell your information. We don’t share it with anyone for their own marketing.
Who else sees it.
To run the business we use a small number of third-party services. Each of them holds some of your information under their own privacy terms:
- Momence — our booking, membership, and payments platform. Holds your contact details, bookings, and payment records.
- Stripe — the card processor Momence uses. Handles your card details directly; we don’t see or store full card numbers.
- Meta (Facebook, Instagram) — for advertising and lead forms. Holds whatever you submit through their forms.
- Google — Analytics and Tag Manager, for understanding site traffic.
- Email and document tools — we use mainstream business email and storage services to read your enquiries and reply to you.
Some of these services store data outside Australia (most commonly the United States). Each is bound by their own privacy obligations.
How long we keep it.
We keep what we need for as long as we need it. In practice:
- Enquiry contacts — until you ask us to remove them, or until two years after your last interaction.
- Member records — for the duration of your membership, plus seven years (the period the ATO requires for business records).
- Payment records — seven years, as above.
- Marketing list subscribers — until you unsubscribe.
Your rights.
You can ask us at any time to:
- Tell you what information we hold about you.
- Correct anything that’s wrong.
- Delete your information (within the limits of the tax and record-keeping obligations above).
- Stop sending you marketing emails — one click on any email, or just reply and ask.
If you’re ever unhappy with how we’ve handled your information, you can also raise it with the Office of the Australian Information Commissioner at oaic.gov.au.
Cookies, and turning them off.
If you don’t want analytics or advertising cookies set, your browser’s privacy settings let you block them, or you can use private/incognito mode. The site will still work normally. We don’t use cookies for anything load-bearing — just to understand what’s working.
Changes to this page.
If we change how we handle information, we’ll update this page and change the date at the top. Material changes (new services, different uses) will be flagged to people on our marketing list before they take effect.
